Clear out the Canva clutter
Recently, I’ve been working with a few organisations to set up their Canva Brand Kits and design some custom templates, and I noticed that their projects and uploads seemed quite haphazard and disorganised.
It may not seem necessary to keep your Canva account organised if you’re the only one using it, but believe me - whether I’m working in a client’s account that is accessed by multiple team members, or in my own personal account - these quick organisational tips have saved so much valuable time, avoided confusion and provided consistency across the brand.
Tips to keep your Canva account organised…
1. Name your projects with descriptive titles
Canva’s default is to name a project with the type of design it is, eg. ‘Untitled Design - Presentation 16:9’, ‘Untitled Design - Instagram Story’ etc. and often most people don’t change the project name.
By renaming your projects with descriptive titles, it’s much easier to find them in the search bar later on, especially if you’re working with other team members who need the file as well.
2. Create folders and group your projects
Keep your Canva dashboard tidy by utilising folders to store all your projects. Folders also make it easy to find a project in the future. Depending on your business, possible folders might be:
Social Media
Admin
Marketing
Course Content
Workshops
3. Rename your uploads
Before uploading any files like brand photos, headshots, logo files, brand graphics etc, make sure their file names are descriptive. If the files have generic names (like DSC85004.jpeg) it’s often quite time consuming to scroll through and find a specific photo. Rename the files to something that will be easy for you to remember next time you’re sifting through hundreds of uploads to find that one photo from your brand shoot ‘cheers-ing’ over your laptop (cheers-mug-laptop.jpeg)
4. Remove any projects that you no longer need
It’s common with a lot of Canva users to start a project, but then have a change of mind and not end up using it. I often see many “Untitled Design” projects in my client’s accounts.
Make it a regular practice to delete half-finished projects that are only cluttering up your dashboard.
5. Highlight your favourites
By using the ‘Star’ feature, you can highlight projects and folders that you use most often. The starred items will then appear in the flyout menu on the left of your home page for easy access.
Like anything in your business, intentionality is the key to success.
Being intentional to staying organised not only saves time, but it can hep your brain concentrate on other tasks.
And if you do have multiple team members working in your business, an organised Canva account will improve efficiency and cut down on miscommunication and errors.
